Events Manager

About Us

We are a small team of dedicated nonprofit professionals who are accelerating the development of high performance, animal-free, and more sustainable materials for the fashion, automotive, and home goods industries. The organization is a little over two years old and is quickly growing its connections with fashion, automotive, and home goods brands. 

 

About This Position

We are looking for someone to serve as the strategic and logistics lead for all of our in-person and virtual events including our annual in-person Material Innovation Conference (was virtual in 2022), annual small donor evenings, and online webinars. While this position is currently the only person running our events, we imagine growing the team with an events coordinator or assistant within the first year with additional growth depending on revenue. 

 

How You Will Make a Difference 

In this role, you will lead the organization's events strategy and logistics through in person and virtual events in order to expand our reach and connections with our audiences. You will be a member of the Communications Department and report to the Chief Communications Officer.  You will also work closely with the program teams to promote their work through webinars. The program leads will serve as subject matter experts in advising on conference and panel topics and speaker recommendations. Our events are both an opportunity for us to provide public education as well as a source of revenue for the organization. The Events Manager will be responsible for:

  • Work with the CEO, Chief Communications Officer, Chief Innovation Officer, and Chief Scientific Officer to develop an annual events strategic plan and calendar of webinars that (1) promote our reports including but not limited to our Brand Engagement Report, State of the Industry Report, White Space Report, and “What Makes X, X?” reports; (2) provide our audiences the opportunity to hear from our expert staff; (3) promote our corporate sponsors; and (4) provide a revenue stream for the organization by managing sponsorship deliverables.

  • Manage all planning, logistics, and troubleshooting around our events including creating and executing a marketing plan, coordinating with our graphic designer on design assets, coordinating and managing speakers’ needs and attendance, ensuring viable online platform, and handling any revenue generation and ticket sales.    

  • Work in partnership with the Communications team to coordinate and support all Public Relations initiatives related to any event. 

  • Increase attendee lists by researching prospects and conducting outreach with invitations. 

  • Develop and maintain annual event strategic plans, budgets, timelines, and project plans and ensure adherence.

  • Schedule and run regular project meetings with relevant stakeholders for each event. 

  • Source and negotiate with vendors, suppliers, and all other contractors and maintain relationships and oversight.

  • Act as the point of contact for all external stakeholders involved in the events.

  • Manage all logistical requirements for the events and webinars including correspondence with speakers to confirm their involvement, as well as corresponding with sponsors and attendees for all events and webinars to ensure client satisfaction and customer success.

  • Anticipate staffing requirements on-site to secure additional resources in advance.

  • Manage all issues and support during the events.

  • Track and manage all deadlines around sponsor event deliverables.

  • Understand and adhere to Health and Safety requirements and risk assessment guidelines for each event.

  • Collaborate closely with the wider team including fundraising, communications, web and design to ensure successful delivery of all events and webinars. 

  • Ensure events are completed smoothly and step up to resolve any problems that might occur.

  • Analyze the event’s success and prepare reports including but not limited to drafting and executing post-event evaluations and surveys. 

  • Performing other duties as assigned.

 

Who We’re Looking For 

We are currently looking for an events manager to establish and grow our online and in person events to spread the message and bring together the relevant stakeholders in order to integrate next-gen materials into the fashion, automotive, and home goods industries as well as secure a strong revenue stream for MII. The person in this position must have:

 

  • 3+ years of event management experience, specifically within the conference field.

  • Proven experience of project managing and delivering events, ideally in a B2B capacity. 

  • Experience in running both virtual and live B2B events, preferably within commercial conferences. 

  • The ability to multitask and work on deadlines in a fast-paced environment.

  • Experience running webinars through online platforms.

  • Evidence of managing event budgets and an understanding of the financial impact of direct event costs. 

  • Experience using project management tools such as Asana.

  • A strong understanding of events production, supplier liaison, and all relevant processes.

  • The ability to self-manage projects and plan event timelines.

  • Very well organized and can manage multiple projects simultaneously. 

  • Ability to work both on your own, and in a team.

  • Excellent listening skills and should possess the ability to earn the trust of others.

The Fine Print

  • Terms of employment: Full-time, exempt

  • Reports to: Chief Communications Officer

  • Location: Remote; with a preference for North America, Europe, Central America, or South America 

  • Benefits: Working from home, flexible working hours, generous holiday and vacation plans, respectful managers, and supportive colleagues. For US-based candidates, $500 per month health reimbursement account (HRA) provided.

  • Salary: $70,000 - $85,000 in the U.S., commensurate with experience.  Salary will be adjusted for international locations. Additional compensation may be provided for high cost of living locations.
